The Daily Pre-Start Inspection (15 Minutes)

The most important PM task is the one you do every morning before the machine moves. I tell my clients: if you only have time for one PM task, make it the pre-start walk-around. I have caught leaking cylinders, loose track bolts, cracked frames, and low oil levels on pre-start checks that would have turned into catastrophic failures by lunchtime. The pre-start inspection should follow a consistent pattern so nothing gets missed.

Walk around the machine and look for leaks—oil, coolant, hydraulic, fuel. Check fluid levels: engine oil, hydraulic oil, coolant, and DEF. Inspect the undercarriage: track tension, roller condition, sprocket tooth wear, and any debris packed into the track frame. Check the tires (if wheeled) for cuts, inflation, and lug nut torque. Look at the bucket or attachment for cracks, worn edges, and loose teeth. Check all visible hoses for chafing, bulges, or leaks.

Start the machine and check the dash for warning lights or fault codes. Let it idle for a few minutes and listen for unusual noises. Cycle all hydraulic functions through a warm-up cycle and watch for drift, hesitation, or jerky movement. Test the travel functions forward and backward. If everything checks out, you are good to go. If you find anything suspicious, note it in your log and address it before the machine goes to work. I tell contractors in Salt Lake City: that 15 minutes every morning is the cheapest insurance policy you will ever buy.

Weekly Inspection (1 Hour)

Once a week, do a deeper inspection that goes beyond the daily walk-around. Start by washing the machine—a clean machine is easier to inspect and reveals problems that dirt hides. Check the radiator and oil cooler fins for debris buildup. Utah dust packs into cooling fins like concrete. I have seen machines in Tooele running 30 degrees hotter than normal just because the fins were clogged. Blow them out with compressed air from the back side to push debris out the front.

Inspect all belts and tensioners for cracking, glazing, and proper tension. Check battery terminals for corrosion and clean them if needed. Test the alternator output and battery voltage with a multimeter. Grease all fittings according to the machine manual—do not guess the intervals. A machine that is greased properly has dramatically longer pin and bushing life. I have seen excavator buckets that lasted 5,000 hours on a daily grease schedule and 1,500 hours on a weekly schedule. The grease is cheap; the pins are not.

Check the condition of all visible wiring harnesses for chafing, corrosion, or loose connectors. Utah vibration and dust are hard on electrical systems. Look at the exhaust system for leaks, especially around the DPF and DOC. An exhaust leak before the DPF can cause incorrect pressure readings and trigger fault codes. If you see soot around any exhaust connection, tighten or replace the gasket. Document everything in a maintenance log so you can track trends over time.

250-Hour PM Service

At 250 hours, you are due for a comprehensive service that covers the major systems. Change the engine oil and filter. Use the correct viscosity for your operating conditions—in Utah, that usually means a 15W-40 year-round, though some machines benefit from a 10W-30 in winter. Take an oil sample at every change and send it to a lab. The analysis will tell you about bearing wear, coolant leaks, fuel dilution, and oil degradation before those problems cause failure.

Change the hydraulic return filter and the pilot filter. Take a hydraulic oil sample and send it for particle count analysis. The ISO 4406 cleanliness code should be monitored religiously. I track oil samples for a fleet in Ogden, and the oil analysis has caught a failing pump seal, a leaky cooler, and a dirty breather—all before the machine showed any symptoms. Check and adjust valve lash if the machine spec calls for it—this is often overlooked but critical for engine performance and longevity.

Inspect and replace fuel filters if they are due. Drain the fuel water separator. Check the air filter and replace it if the restriction indicator shows it is loaded. In Utah dust, air filters often need replacement before the scheduled interval. Check the final drive oil level and condition. Look for metallic particles or water contamination. Grease all undercarriage pins and bushings. Check track tension and adjust if needed. Tighten all track mounting bolts to spec. A loose track bolt that falls out on the jobsite turns into a lost track and a very bad day.

Seasonal PM: Summer and Winter Prep

Utah's extreme seasons require PM tasks that standard factory schedules do not cover. In the spring, prepare for summer: test the coolant for proper freeze protection and corrosion inhibitor (yes, even in spring—coolant systems lose protection over time). Clean the radiator and cooler fins thoroughly. Check the AC system if the machine has a cab. Test all cooling fans and fan clutches. Summer heat in Utah will find every weakness in your cooling system.

In the fall, prepare for winter: test battery cold cranking amps and replace any battery below 80% of its rated CCA. Check and test all block heaters. Install winter-grade fuel and add anti-gel treatment to every tank. Change to winter-weight hydraulic oil if the machine spec recommends it. Test coolant freeze protection to -30 degrees minimum. Check cab heaters and defrosters. Inspect door and window seals. A machine that fails in February because of inadequate winter prep costs you production at the highest-demand time of year.
